Data Archiving with SAP and UNIORG

Due to the growing number of documents required for everyday business, SAP users are faced with increasing requirements for their SAP systems and the associated databases. Without additional hardware components, which tend to be very expensive, the system performance can decline considerably. The system generally takes a long time to respond because too much data is considered during selection. The necessary reorganization and backup processes for the database take even more time.

The solution to these problems is SAP data archiving, meaning archiving the data that does not have to be immediately available in the system for business processes, but can neither be avoided nor deleted. SAP’s data archiving solution is the only SAP-verified method for consistently removing data from an SAP system and providing it in a read-only format as needed. What’s more, this software function is already included in the SAP basic module.

Requirements for archiving
  • Legal requirements
    Essentially, you must observe the country-specific regulations of the relevant tax authorities. Since January 1, 2002, the "German Principles of Data Access and Auditing of Data", or GDPdU for short, have been in effect. These principles provide uniform rules regarding access to archived and/or stored data and the auditing of this data in terms of tax authorities in Germany.
  • Requirements for companies
    VThe requirements are mainly guidelines from the individual departments regarding the way the archive works, how archived documents should be prepared or how long archived data can be stored.
  • Technical requirements
    This include access times for archived data, long-term data security for the storage medium, or management of data on external storage systems.

The primary target of a data archiving project is to improve system performance by removing data that is no longer required for the SAP applications from the productive system but still requires read access. It is not sufficient to view data archiving solely from the point of view of administration and system load reduction. The necessary requirements for storing archived data and revision security must also be taken into account.

Our method

At the beginning of a project, we perform a comprehensive system analysis in terms of your database and the hardware you are currently using for data storage. The target of the database analysis is to identify the archiving objects that appear to be sufficient for archiving based on the size and growth of the database (storage space utilization in the individual tables). Based on the industry-specific needs of the company and legal requirements, we then determine the technical requirements for the archive or the storage system, such as:

  • Correct transfer of data from the database to the archive
  • High-performance access to the archived data
  • The possibility to restore the data, both in terms of appearance and content
  • Guaranteeing long-term data security in terms of the selected storage medium
 

Before you use the concept in your daily productive operations, it is implemented on your test system, where we perform the required tests for the corresponding archiving object.
